About the Role
The Office Coordinator will organize and coordinate office
administration and procedures, in order to ensure organizational
effectiveness, efficiency and safety. The Office Coordinator is
responsible for developing intra-office communication protocols,
streamlining administrative procedures, inventory control, office
staff supervision and task delegation.
What You'll Do
- The individual will be the first point of contact for visitors,
greeting and welcoming guests to the site, directing them
appropriately and notifying company employees of the visitor
arrival.
- Maintains security by following procedures; monitoring logbook,
issuing visitor badges such as activation and biometric
coordination
- Point person for maintenance, mailing, shipping, supplies,
equipment, billing and errands
- Organize and schedule meetings and appointments
- Partner with HR to maintain office policies as necessary
- Orders supplies for the entire office; including but not
limited to snacks/supplies for break area, Staples supplies, Fed-Ex
& mail supplies.
- Coordinate with IT department on all office equipment
- Monitor and maintain office equipment in partnership with the
facilities department (printers, shredders, etc.).
- Manage relationships with vendors, service providers and
landlords, ensuring that all items are invoiced and paid on
time
- Manage contract and pricing negotiations with office vendors
and service providers.
- Provide general support to visitors
- Responsible for managing office services by ensuring office
operations and procedures are organized, correspondences are
controlled, filing systems are designed, supply requisitions are
reviewed and approved and that clerical functions are properly
assigned and monitored
- Ensure office efficiency is maintained by carrying out planning
and execution of equipment, procurement, layouts and office
systems
- Ensure the results are measured against standards, while making
necessary changes along the way
- Participate actively in the planning and execution of company
events/parties/gatherings
- Organize and introduce new staff members to the office
- Monitor and maintain office supplies inventory
- Maintain a safe and secure working environment
- Adhere to CrowdStrike security platform. Work with security
staff on badging and duo security implementation for new hires
- Manage and ordering office catering requests.
- Reservations (e.g. restaurants, shows, conferences).
- Managing budget
- Weekly reports
- Maintaining administrative logs
- Manage conference room scheduling and work effectively with
meeting organizers to efficiently and effectively schedule
meetings.Inquiry Management:
- Receive incoming requests, prioritize, and communicate to
staff.
- Read and analyze incoming memos, submissions, and reports to
determine their significance and plan their distribution.
- Prepare responses to correspondence containing routine
inquiries.
- Assists with other related clerical duties such as
photocopying, faxing, filing and collatingAdditional
Responsibilities:
- Assists with company local events & meetings (onsite/offsite
conference room reservations, catering, decor, coordination,
etc.).

- Proven office management, administrative or assistant
experience
- Knowledge of office management responsibilities, systems and
procedures
- Excellent time management skills and ability to multi-task and
prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organization and planning skills
- Proficient in MS Office#LI-AI1
